How classification rules and scope precedence work

How to make one app "Productive" for everyone but "Highly Productive" for a single person, and why the two don't conflict.

What this does

A classification rule says how productive a specific app or website is. Rules can be set at four different scopes, and a more specific one always wins for the people it applies to — without ever changing the broader rule underneath.

Who can do this

Viewing rules requires productivity-configuration view access; creating or editing them requires classification-management permission (tenant admins and owners by default).

Steps

  1. Go to Settings > Productivity > Apps & Websites (Classification rules).

  2. Choose a scope at the top: Organization, Department, Team, or Individual.

  3. For Department, Team, or Individual, pick the specific department/team/person the rule should apply to.

  4. Find the app or website (search by name), and change its classification in the dropdown.

  5. The change saves immediately at the scope you selected.

What happens next

For example: your Organization rule says Canva is Productive. If you switch to the Individual scope, select one employee, and set Canva to Highly Productive for them specifically, that employee's reports will now show Canva as Highly Productive — while everyone else in the organization still sees Canva as Productive, completely unaffected.

The precedence when resolving what applies to a specific person is: Individual beats Team, which beats Department, which beats Organization, which beats Staffintra's own built-in default for that app or site. Each level is its own separate rule — changing the Organization rule later will never touch an Individual or Team override that already exists.

Important notes

  • Use Reset (visible when a scope has its own override) to remove a rule at that specific scope — this doesn't delete anything at a broader scope, it just falls back to whichever rule is next in line (Team > Department > Organization > Staffintra default > Unclassified if nothing at all applies).

  • The Classification rules table shows exactly where each row's current value is coming from (Organization, Department, Team, Individual override, or "Staffintra default"), so you never have to guess which rule is actually in effect.

  • Changing a rule affects historical reports immediately — Staffintra always classifies activity using the current rule, not whatever rule existed on the day the activity happened.

Troubleshooting

  • You changed the rule but the employee's report still shows the old classification — make sure you actually selected that specific Individual (or their Team/Department) when you changed it, not the Organization scope.
